UI & Login changes to Guest Portal login screen

By streamlining the login process, the updated UI makes accessing the RMS Guest Portal smoother and easier than ever.

The new design allows your guests to log in with their primary email address or phone number and a security code, removing the need to enter individual booking details.

Once logged in, the features your guests love will still be right at their fingertips, exactly where they've always been.

Book rooms with Interactive Maps on the Quick Quote screen

Now your staff can create bookings directly from the interactive map inside of Quick Quote, our tool that enables you to quickly search, quote, and compare availability across properties, categories, & rate types. Just open Quick Quote, filter for what you need, and click the map icon for easy, visual booking options.

Easily navigate room details with photo icons

We’ve added photo icons to the Quick Quote screen to let your staff know which categories have accompanying images. If an image icon appears next to a categoryyour reservation staff can simply click on it and view the images, giving them a visual idea of whether this spot meets the needs of the guest.

Create department to-dos using traces

Create, assign and manage to-do tasks for different departments using the traces feature. With the ability to create task templates based on the department they'll be assigned to, you can quickly and easily action tasks between teams. 

Traces are fully customisable, giving you the ability to set the task title, description, due date, if a task recurs, and how often. Our traces report makes it simple to see how each to-do is progressing, with the ability to filter by date range, department, template and user.

Create automatic booking holds to complete room tasks

We’ve created departure blocks so you don’t have to worry about rooms being booked before your required cleaning and inspection tasks have taken place. Now you can configure certain rooms to automatically be blocked from bookings for a specified number of days after a guest’s departure, giving your team ample time to ready the room for the next arrival. If the room is ready before the set number of days passes, simply remove the block.

Pencil reservations are automatically confirmed with a deposit payment 

By reducing the steps involved and automating part of the process, it's now easier than ever to turn a pencil booking into a confirmed reservation.

Now, when a deposit is paid via the Guest Portal, their pencil booking will automatically become a confirmed reservation. If the deposit is not paid, the pencil booking will expire according to the usual conditions set.

Sell passes on your Internet Booking Engine & in the RMS Passes Portal

We’ve created a property-level module that lets you sell day-use and annual passes on the Internet Booking Engine (IBE), in the Guest Portal, as well as within RMS in the Passes Portal. These passes can be configured to work with your boom gates, so your pass holders have access to your property on the days that correspond with their pass purchase. Upon purchase, your guests will receive a triggered correspondence with confirmation details, the boom gate code (if applicable), and their receipt.

Send automatic renewal reminders to pass holders

Now you can set triggered correspondences to automatically remind your annual and seasonal pass holders to renew their memberships. You can configure this to remind pass holders a specific number of days before expiration or set it to notify them after their pass expires, whichever option suits your property’s needs.

Create custom terms & conditions in the Guest Portal

Gain greater control over your pre-check-in requirements by easily including up to five customisable terms & conditions for your guests to review and agree to before their stay. By including five customisable terms & conditions fields, you can now ask your guests exactly what you want during the pre-check-in process.

Let guests book from inventory groupings on OTAs 

Now, when a guest goes to book a room online, they can choose their room preference and make a booking for the available room or site type within an inventory grouping category. Group two or more site types into a single inventory category to optimize booking for similar site or room types. This single category can be pushed out to OTAs under one rate (you’ll be able to pick one of the sites or rooms to control the rate.)

Travel Agents can make payments in the RMS Corporate Portal

Travel agents can now make payments in the Corporate Portal with properties that use these payment gateways: RMS Pay, Windcave, Razor Pay, and Worldline. Let Travel Agents and Companies make payments on the Corporate Portal while making reservations and paying off existing invoices across multiple reservationsYou can turn this functionality on and off, according to your property’s unique needs.

Let owners use theiFF&E account to pay third-party invoices

If your property utilises Owner Accounting with a Furniture, Fixtures, and Equipment (FF&E) account, you can now pay third-party invoices using the funds within that account. Now you’ll see your FF&E balance in a designated column on the third-party payment screen within the RMS database, and upon payment, you’ll be prompted to either apply these funds or the owner income funds to the invoice.

What's new in RMS Pay

Create pre-authorisation payment tokens using Guest Profile tokens

Take advantage of tokenised credit card details to create simpler payments for guests who have previously stayed at your property or within your enterprise group.
